Collaborating in Office 365

In this article I will describe what are the limitation of the collaboration (co-authoring) in Office 365, between local Office client and online Office apps.

I will be using a combination of:

  • Browser (Office Web Apps) – Browser (Office Web Apps);
  • Browser – Local Office App (Application);
  • Application – Application.

How do we collaborate in Office 365?

O365 Collaboration

Access

  • we can access and edit a database using two or more browser at a time;
  • we can access and edit a database using a browser and the local Access app;
  • we can access and edit a database using one or more instances of local Access app.

Excel

  • we can access and edit a workbook using two or more browsers at a time;

Excel Web App

  • we can’t collaborate on a workbook if we use a browser (EWA) and the local Excel app (we will be getting the File In Use message).

  • if we try to open a workbook using two instances of the local Excel client, we will receive the File In Use message.

In the above image we can see the name of the person who is editing the workbook and we are offered with two options:

  • open the workbook in a Read-Only mode;
  • save and edit a copy of the file.

A useful option is the last one, which can notify us when the workbook will be available for full editing.

OneNote

  • we can access and edit a notebook using two or more browsers at a time;
  • we can access and edit a notebook using a combination of OneNote Web App and the local OneNote client;
  • we can access and edit a notebook using two or more instances of the local OneNote client.

Outlook

Even if Outlook doesn’t have an collaboration option, I will talk about him, because in Office 365 we have Outlook Web App.

  • we can access our mailbox using only one instance of a browser tab;
  • we can access our mailbox using OWA and the local Outlook client;
  • we can access out mailbox using two or more instances of the local Outlook client.

PowerPoint

  • we can access and edit a presentation using two or more browsers at a time;

  • we can access and edit a presentation using PWA and the local PowerPoint client at the same time;

  • we can access and edit a presentation using two or more instances of the local PowerPoint client.

Word

  • we can access and edit a document using two or more instances of WWA;

Word Web App

  • we can access and edit a document using a combination of WWA and the local Word client;
